Out-of-State Travel SOP
Guests must obtain approval before crossing state lines. The host and guest are responsible for agreeing on the terms β ZEVO's role is to confirm that agreement and process the incidental.
Balance Requirement
Guests must have a zero outstanding balance before out-of-state travel can be approved. This includes overdue base fare, tolls, incidentals, and supercharger fees.
- If the guest has any outstanding balance, CS must deny the request until the balance is cleared.
- Do not make exceptions to the zero-balance requirement. Escalate to Manager if the guest pushes back.
- This rule applies regardless of host approval. Even if the host agrees, ZEVO will not process the travel deposit if a balance is outstanding.
Process
- Guest contacts ZEVO support with their destination, departure date, and return date before leaving.
- CS verifies the guest's outstanding balance in ZOMP. If any balance exists, deny the request and advise the guest to clear it before reapplying.
- CS reaches out to the host via the applicable Slack channel. The host and guest must agree on whether travel is approved and on the additional security deposit amount. ZEVO does not set the terms β this is between the host and guest.
- Once both parties have agreed and the balance is confirmed at zero, CS processes the security deposit as an incidental in ZOMP. Note the deposit as an out-of-state travel deposit with the approved destination.
- CS confirms approval to the guest only after the incidental is processed. Include the approved destination, dates, and a reminder that any itinerary changes require a new request.
Unauthorized Out-of-State Travel (After the Fact)
If a guest crosses state lines without prior approval β including cases where they notify ZEVO or the host after departure:
- The travel is a policy violation regardless of when ZEVO is informed.
- CS must immediately notify the host and escalate to Manager.
- A $100 unauthorized travel fee is applied as an incidental.
- The incident is documented in the guest's Intercom profile note.
- A second unauthorized travel violation may result in account restriction or termination of booking.
Do not retroactively approve the trip or process a standard out-of-state deposit after the fact. The unauthorized fee applies instead.
Notes
- Approval is specific to the destination and dates provided. Traveling beyond the approved scope is treated as unauthorized travel.
- The security deposit amount is negotiable. For longer trips or higher-value vehicles, hosts and guests may agree on a higher deposit. There is no maximum β the agreed amount between host and guest is what CS processes. ZEVO does not set the deposit amount.
- The security deposit is refundable at host discretion upon return.
- EVenture vehicles require explicit sign-off from Preston or EVenture Admin before any out-of-state approval.
- If the host is unresponsive and the guest has a time-sensitive departure, escalate to Manager. Do not approve or deny independently.
